How Power in Pilates collects, uses, and protects your personal information

1. Who we are
Power in Pilates, run by Dympna Haywood and based at 1 Dongola Road, Ayr, KA7 3BH, is the "data controller" for the personal information described in this policy. If you have any questions about how your information is used, contact us at powerinpilates@gmail.com or 07939 804535.
2. What information we collect
Contact details: name, email address, phone number (collected when you enquire, book a class, or use our website contact form).
Booking information: class/session type, date and time, attendance history (held in our booking system, Acuity Scheduling).
Health information: details you provide in your PAR-Q / health screening form, and any updates you give us about your health before a class. This is "special category" data under UK GDPR and is treated with extra care (see Section 4).
Payment information: payments are processed directly by Acuity Scheduling and/or its payment provider. We do not store your full card details ourselves.
Website usage information: standard technical information (such as browser type and general location) collected via Squarespace, and any cookies described in Section 7.
3. How we use your information
To process and manage your bookings, including reminders, rescheduling, and cancellation confirmations.
To assess whether a class or session is suitable for you, based on your health screening information.
To respond to enquiries sent through our contact form, email, or phone.
To send occasional service updates (for example, changes to the timetable) and, only with your consent, marketing or promotional messages.
To meet our legal, accounting, and insurance obligations as a small business.
4. Health information
We only collect health information that is relevant to teaching you safely and only use it for that purpose. We ask for your explicit consent to hold this information when you complete your PAR-Q / health screening form. You can withdraw this consent at any time, but we may not be able to offer you a session if we don't hold the health information we reasonably need to teach you safely.
5. Our legal basis for using your information
Contract: to take your booking and provide the class or session you've paid for.
Legitimate interests: to run and improve the studio, for example by keeping basic records and responding to enquiries.
Consent: for health information, and for any marketing communications, which you can withdraw at any time.
Legal obligation: where we need to keep certain records for tax, accounting, or insurance purposes.
6. Who we share your information with
We share limited information with the following third parties, only as needed to run the studio:
Acuity Scheduling — our booking and payment system, which processes your booking, contact, and payment details.
Squarespace — our website host, which may process basic website usage data.
We do not sell your personal information to anyone. Some of these providers may store data outside the UK/EEA; where this happens, they provide appropriate safeguards (such as Standard Contractual Clauses) to protect your information.
7. Cookies
Our website, hosted on Squarespace, uses cookies to help it function properly and to understand how visitors use the site. You can control cookies through your browser settings; some parts of the site may not work as intended if cookies are disabled. Please refer to Squarespace's own cookie policy for details of the cookies it sets.
8. How long we keep your information
We keep booking and contact information for as long as you're an active client, and for a reasonable period afterwards in case you return, or as required for accounting purposes. Health screening information is reviewed regularly and removed once it's no longer needed for your safe participation in classes.
9. Your rights
Under UK GDPR, you have the right to:
Ask for a copy of the personal information we hold about you.
Ask us to correct any information that is inaccurate or incomplete.
Ask us to delete your information, where we don't have a legal reason to keep it.
Ask us to restrict or object to how we use your information.
Withdraw consent at any time, where we rely on consent (such as for health data or marketing).
Ask for your information to be provided to you, or transferred, in a portable format.
To exercise any of these rights, contact us at powerinpilates@gmail.com. If you're unhappy with how we've handled your information, you also have the right to complain to the Information Commissioner's Office (ICO).
10. Children
Our services are aimed at adults. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time to reflect changes in how we operate or in the law. The current version will always be available on our website.
